We are growing! A key opportunity to be a valuable contributor is available with Arco LLC. We are seeking a full-time Construction Administrator! This position is responsible for completing administrative duties during the company’s construction projects.

Arco LLC is a Residential Design and Build firm that executes architecturally driven projects while maintaining an unshakeable focus on high quality craftsmanship. Our team merges the visions and inputs of architects, engineers and designers, thereby producing a balanced approach to meet our client’s primary design ideas, needs and budget.

This is a great opportunity for someone to work directly with the Owners and be an integral part of our construction projects. This position’s schedule will be generally, Monday through Friday, 8:00 AM – 5:00 PM. This is primarily an office position, however, access to independently travel to jobsites around Brookline, Newton and the Greater Boston area is required.

The Construction Administrator is responsible for:

  • Responding to requests for information (e.g., obtaining 3 estimates, best pricing for specs by designers and deliverables are received on time) from other companies and government agencies.
  • Analyzing Requests for Quotes, Requests for Proposal, and Requests for Information that are received to determine whether they meet the requirements for potential bids
  • Answering questions from subcontractors, materials suppliers, and general contractors during the bid process
  • The calculation of construction costs to ensure sure they match construction plans
  • Seeking potential projects to bid via online platforms, city/county/government procurement sites, and other lead mechanisms
  • Assembling and completing bid documents under time pressure
  • Following up on submitted proposals to find out status of projects
  • Soliciting subcontractor and supplier pricing for multiple bids simultaneously
  • Keeping the bid calendar and company calendar current and set reminders for the owner and bid team
  • Ensuring all required materials are delivered to the work site
  • Working knowledge of reading construction drawings, plans and specifications.
  • Meeting with the Project Manager, Site Superintendent and clients to assist in construction process
  • Conducting on-site observations to track and monitor construction progress in coordination with clients and contractor vendors.
  • Reviewing of schedules to determine the accurate timing for order deliveries and monitor construction work progress.
  • Issuing the architect’s supplemental instructions to applicable personnel
  • Ordering/organizing & coordinating deliveries
  • Organizing & creating specification Manuals Binders

Construction Administrators need to have estimating, forecasting, filing of documents experience and work well under strict deadlines to make sure all contracts are followed. Interested candidates are to have 3 years of experience in a similar position of construction experience. Candidates must be organized individuals that can efficiently process forms and perform administrative tasks.

The position requires:

  • A Bachelor’s degree preferred in architecture, construction management, engineering, or a similar field or commiserate experience
  • Working knowledge of Microsoft Projects or other Scheduling software, Pro-core, Mavenlink – Gantt Schedule Table, preferred
  • Working proficiency with Microsoft Office Suites.
  • Previous experience in construction office administration
  • Previous experience assembling and submitting bid packages
  • Strong work ethic and commitment to quality workmanship
  • Independent critically-thinking and problem-solving skills.
  • Exceptional written and verbal communication and interpersonal skills.
  • Positive work relationships with co-workers, clients, and vendors.
  • Exceptional organizational and multi-tasking skills.
